The Task Lifecycle

One task, six stages

Stage 01

Created

A task enters with an owner, a priority and a deadline — typed in, or built from a template.

Stage 02

Assigned

The assignees are notified in the app and on WhatsApp, the same minute.

Stage 03

Tracked

It moves through pending and in review while the dashboard counts update live.

Stage 04

Reminded

A nudge goes out before the deadline — unless the task is already closed.

Stage 05

Escalated

If it slips, overdue messages reach the assignee and the admins on your rules.

Stage 06

Closed or repeated

Completed tasks leave the queue; recurring ones rebuild themselves on schedule.

Dashboard

The first screen after sign-in answers one question: where does the work stand right now?

  • Completion progress ring — how many of your tasks are closed out of the total.
  • Live counters for total projects, active tasks, completed and overdue.
  • A "Due Today" panel and a "Critical Tasks (High Priority)" panel, each with a live count.
  • Each person sees the work that belongs to them, at a glance.

The core object

Tasks & Sub-tasks

A task carries everything needed to finish it — and everything needed to prove it was finished.

  • Title, rich-text description, priority and a deadline with both date and time.
  • Assign one or many users; reassign later without losing the original owners.
  • Statuses move through pending, in review, completed, rejected — and overdue is derived from the deadline.
  • Break a task into sub-tasks, each with its own owner and state.
  • Comments and attachments stay on the task, so the history travels with the work.

Projects

Group related tasks under a project when you need the structure — and switch the whole module off when you do not.

  • Every task can belong to a project, or stand on its own.
  • Project-level progress rolls up from the tasks inside it.
  • The Projects module can be switched off from Settings; the rest of the app adapts automatically.

Start fully built

Templates

A template is a reusable task list. Build it once, and every new piece of repeating work starts complete.

  • Give the template a name, a description and — optionally — a project it belongs to.
  • Add the tasks inside the template itself, with assignees and descriptions already set.
  • Drag and drop to set the sequence; connector lines show the order the work runs in.
  • A full-screen Template Progress view walks through every step and its current status.
  • Deleting a template asks whether its tasks should go with it.
  • Admin-only, and hidden automatically when the Projects module is switched off.

Recurring Tasks

Mark a task as recurring and AptoTask rebuilds it on schedule — with the same deadline time, on the new date.

  • Daily, weekly, monthly and yearly schedules.
  • The new task is created automatically, and the WhatsApp message goes out exactly as it did the first time.
  • A delayed copy is still created, and never created twice.
  • Recurring can be switched on from both task creation and task edit.
  • Each company sees only its own schedules, and deleting a task removes its recurring schedule too.

The follow-up engine

Notifications & Reminders

The part that does the chasing — first the person who owns the task, then their admin if it is still open. Configure it once and it runs on its own.

  • A reminder before the deadline — cancelled the moment the task is completed, rejected or deleted.
  • Staff overdue reminders: a morning and an evening time, sending each person their own pending list.
  • If the task is still not done, it escalates — the admins you choose receive an overdue report for it, so nothing is left sitting with one person.
  • Escalation runs on your rules, each with its own gap and its own set of admins, and one message per overdue task.
  • Real-time in-app notifications alongside the WhatsApp messages.
  • Reminder settings are controlled by your admins, so the schedule stays consistent for everyone.

Messaging is metered, visible and prepaid — no surprise invoices.

  • A free WhatsApp allowance every month, shared across the company.
  • Once it is used up, each further message is charged from the prepaid wallet at the published rate.
  • A usage log shows what was sent, when and to whom.
  • Subscription status, plan and expiry sit in the same tab.

Account security

Login History

Every session is listed, so a forgotten sign-in on someone else’s device is a two-click fix.

  • Device, browser, IP address, login time and last active time for each session.
  • Log out any single device, or log out every other device at once.
  • Available to every role, including when a plan has lapsed.
